Chat - Sync Outlook Setup

Setup  - (for VCOrganizer)


To sync with Outlook, you need an extra Gmail account.

  • The VCOrganizer on your phone/tablet needs one Gmail account. This is the one that you use to chat with your friend.
  • On your PC, in SyncCenter, you need another Gmail account. VCOrganizer on your phone/tablet will communicate with your PC using this Gmail account.
  • For security reason, you need to do the setup on your PC and your Phone:
    • On your PC, you need to grant the permission to allow your phone to access data on your PC.
    • On your Phone, you need to confirm in VCOrganizer to allow your PC to access data on your phone.

In the follow examples, we are going to use these two Gmail accounts.

  • On your phone/tablet (VCOrganizer):  pedron.chat@gmail.com
  • On your PC (SyncCenter): pedro.synccenter@gmail.com

    Remark: If you need to sync with more than one devices, you need a separated gmail account for each device. 


To setup the connection, your phone/tablet must be online and VCOrganizer Chat app on your phone/tablet must have signed in to Gmail Talk Server. See Chat - Connection for details.

SyncCenter Setup

Please make sure you have installed SyncCenter version 8 or above.

  • In SyncCenter -> Chat, enter the User Name (e.g: pedro.synccenter@gmail.com) and the password.
  • Click the "Sign In" button to connect to server.
  • After signing in, you should see a list of friends on the listbox on the left. 
  • If this is a new Gmail account or your the Gmail account (e.g:  pedron.chat@gmail.com) that you use in VCOrganizer is not in your friends list, you can click the "Invite Friend" button to add the account. Then, VCOrganizer on your phone/tablet (must be online) will receive a subscription request. Please confirm it in VCOrganizer Chat app. Once the subscription is confirmed, you will see that Gmail account in your friend list.
  • In order for VCOrganizer (pedron.chat@gmail.com) to sync with this Outlook client, we need to add this Gmail account to the "Friend to sync with this Outlook client" listbox. 
  • Select pedron.chat@gmail.com in the "Friends" listbox and click the ">>" button to add pedron.chat@gmail.com to the listbox on the right.
  • The SyncCenter setup is completed.

VCOrganizer Setup


  • In the steps above, if you have confirmed the subscription of pedro.synccenter@gmail.com, you should see this Gmail account in your Friends list in VCOrganizer - Chat.

The icon at the bottom left of the profile image indicates the type of this client:

 - This icon indicates that this is a SyncCenter client (you can sync with this client)

 - This icon indicates that this is a VCOrganizer client (you can chat with this client)

  • To sync with SyncCenter, please select "Sync with this Outlook client" option from the dropdown menu on the right.



  • Then, you can select whether to enable "Real-time sync" (we will discuss this in another section). Click OK button. You should see the profile image has changed to a Outlook icon and the name title will display the machine name instead of the username of the Gmail account.




  • Done. If you click the dropdown menu again on the right again, you should see more options. You can select "Outlook Sync (Full Sync)" to start the sync process.

  1. Regarding the functional described on this page, do I "have" to use Gmail accounts? Can I use Yahoo or other email accounts (as long as the two email accounts are on the same domain)?

  2. No, you cannot. We need a XMPP server, not a mail server.
    Google Talk Server is one of them, but Yahoo is not.
    At this moment, we have only tested on Gmail server. I would suggest you use Gmail account. If you have any concern of using Gmail server, please feel free to let me know.

  3. I have attempted the "SyncCenter Setup" steps but when I click the "Sign in" button several seconds pass and then the following error message appears:
    "A connection attempt failed because the connected party did not properly respond after a period of time, or established connections failed because connected host has filed to respond 74.125.196.18:5222"
    Any ideas?

  4. It may be the firewall issue.

    Is this your PC at Home or Office?

    Are you using VPN?

    In Windows Command Prompt, if you execute "ping 74.125.196.18", what do you see?

  5. PC is at home, not using VPN and "ping" was successful (e.g. Reply from 74.125.196.18: bytes=32 time=36ms TTL=42).

  6. To isolate the issue, please try to turn off the firewall and antivirus software on your PC, and try again. If this is firewall issue, we can try to configure the firewall to add some exception rules. Also, may I ask you which country do you live in ? I would like to know if this is specific to some countries.

  7. I'm in the USA. I turned off firewall and antivirus and now i\I'm getting a runtime error: Input string was not in a correct format.

  8. It seems that the firewall was blocking the connection. For the " runtime error: Input string was not in a correct format.", may I ask you where you see this error? On your PC? or on your phone?
    For this case, I would suggest you contact our support at support@vecal.biz. We may need to collect some log files for further analysis.
